2.6 Sensitive and third-party information
We do not ask you to submit sensitive personal information through PACE™ Snapshot. Please do not include sensitive information, confidential third-party material or personal information about another person unless it is necessary and you are authorised to provide it.
3 How we collect your information
3.1 Information you provide
Most information comes directly from you when you complete a form, take PACE™ Snapshot, contact us, meet us, register an interest, provide feedback, or discuss or buy a service.
3.2 Information collected automatically
Our website and service providers may collect technical and usage information automatically through cookies and similar technologies.
3.3 Information from other sources
We may receive professional information from people who introduce us, business partners, service providers and public sources such as organisation websites or professional social-media profiles.

4.1 Providing and improving our services
We use information to provide, maintain and improve our services, tools and resources, respond to enquiries, provide support and understand how our website and services are used.
4.2 PACE™ Snapshot
We use the details and responses you submit to administer PACE™ Snapshot, calculate and display your results, prepare a PDF copy and send it to the email address you provide.

We may use information to protect our website and services, prevent fraud or misuse, resolve disputes, comply with legal, tax, accounting and regulatory requirements, and establish or defend legal claims.
5 Our legal reasons for using your information
Data-protection law requires us to have a lawful reason for using personal information.

We rely on contract where information is needed to take steps you request or to provide an agreed service.
5.2 Legitimate interests
We rely on our legitimate interests where it is reasonable for us to run, protect and improve our business, respond to you and manage professional relationships, provided those interests do not override your rights.
5.3 Consent
We rely on consent for optional marketing and non-essential cookies where consent is required. You can withdraw your consent at any time.
5.4 Legal obligations
We rely on legal obligation where we must keep or use information to comply with the law.
6 PACE™ Snapshot scoring and results
6.1 How scoring works
PACE™ Snapshot uses fixed scoring rules to turn your selected responses into category scores, an overall percentage, a result band and introductory commentary.
6.2 What the results mean
PACE™ Snapshot is a self-assessment of an organisation or professional context. It does not decide anyone's eligibility, employment, legal rights or access to services, and it does not have legal or similarly significant effects. The results provide a practical basis for identifying governance priorities and next steps.
7 How we share your information
7.1 Service providers
We may share information with trusted providers that support our work. These currently include Tally, which hosts PACE™ Snapshot and processes submissions and calculations; Squarespace, which hosts our website and website forms; and Microsoft 365, which we use for email, document storage and business administration.
7.2 Professional and legal requirements
We may share information with professional advisers, insurers, regulators, courts or public authorities where this is required by law or reasonably necessary to protect our rights, privacy, safety or property, or those of others.
7.3 Business transfers
If our business is sold, reorganised or transferred, information may be shared with relevant advisers and a new owner, subject to appropriate safeguards.
7.4 No sale of personal information
We do not sell personal information.
8 International transfers
8.1 Transfers outside the United Kingdom
Some service providers operate outside the United Kingdom. Where personal information is transferred internationally, we use providers and safeguards recognised under UK data-protection law.
8.2 Tally
Tally is based in Belgium and states that form data is stored in Europe. For PACE™ Snapshot submissions, Keno Media is the Controller and Tally acts as our Processor, storing the form data on our behalf.
For more information about how Tally handles personal information, see Tally's Privacy Policy and Tally's GDPR information.
9 How long we keep your information
9.1 Our approach
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including legal, accounting and operational requirements.
9.2 PACE™ Snapshot
We normally keep PACE™ Snapshot submissions, results and associated PDFs for 24 months from submission.
9.3 Enquiries and correspondence
We normally keep general enquiries and correspondence for 24 months from the last meaningful contact.
9.4 Marketing records
We keep marketing records until you unsubscribe or we decide the information is no longer needed.
9.5 Business and technical records
We keep client, contractual, financial, accounting, technical and cookie information for as long as the relevant legal, professional, security or operational requirement applies.
9.6 Longer retention
We may keep information for longer where it forms part of an active client relationship, a legal claim or another legal requirement. When information is no longer needed, we delete it securely or anonymise it.
10 Marketing choices
10.1 Marketing is optional
You do not need to agree to receive marketing to complete PACE™ Snapshot, make an enquiry or receive a service.
10.2 How to opt out
You can unsubscribe at any time using the link in an email, by replying to the email or by contacting info@kenomedia.co.uk. Withdrawing consent will not affect information we used before you withdrew it.

11.2 Information about children

No method of transmission or storage over the internet can be guaranteed to be completely secure.
13 Cookies and website analytics
13.1 How we use cookies
Our website uses essential cookies and may use analytics or similar technologies to support website operation and understand website traffic.
13.2 Your cookie choices
Where consent is required, non-essential cookies will be used only after you make a choice through the website's cookie controls. You can also manage cookies through your browser settings, although blocking some cookies may affect website functionality.
